The position holder is employed as a Commercial Co-ordinator and is required to progress their identified job tasks in a diligent and efficient way as directed by the Commercial Manager
Key Requirements
Should ideally be educated to degree level and have an excellent working knowledge in managing and controlling all commercial, cost and contractual aspects of a business. The position holder should have at least eight years experience in a Commercial / Quantity Surveying / Business Administration environment
Job Description
Main Responsibilities
• Manage Assigned Commercial/Invoicing resources.
• Ensure prompt payment from clients.
• Minimise level of work carried as work in progress.
• Ensure the proper management and control of variations and appropriate project controls are being implemented.
• Manage Commercial documentation
• Coordinate monthly contract financial reporting including analysis and reporting including analysis and reporting of variance between achieved and budget.
• Liaise with the external client to ensure that they are provided with all information in line with their requirements
• Proactively support lump sum projects, monitoring costs expended versus progress, highlighting any issues in a timely manner allowing them to be corrected.
• Ensuring all commercial and operational issues that may occur on submitted invoices are managed to minimise debtors days.
• Lead and manage commercial improvements within contracts. To ensure contract return is maximised.
• Identify, prepare and submission of variations to contracts.
• Participate in the ongoing development of systems and processes.
• Produce accurate and timely project information and reports as requested.
Specific Tasks
• Maximise the return for Company within the confines of the contractual arrangements with clients.
• Coordinate commercial input to business cases whether contract specific or internal.
• Ensure that operational personnel are fully briefed on areas of commercial risk and remuneration mechanisms.
• Plan and monitor the contract projects and costs.
• Monitor the selection and requisition of all plants, equipment and materials on the contract.
• Communicate progress and commercial implications to the customer.
• Manage negotiations with customer where any variations and changes to contract carry commercial implications.
• Ensure prompt communication of any commercial risk to Senior Management and to assist/lead in the mitigation of such risk.
• Ensure appropriate project controls are being implemented.
• Coordinate commercial input to business cases whether contract specific or internal.
• Coordinate and manage annual rate uplifts and ensure appropriate handling of associated variations.
• To identify to commercial manager any potential claims and/or opportunities and where appropriate lead the commercial negotiations to bring issues to resolution
• To participate in internal/external audits as necessary.
• To participate in client/internal performance review meetings.
• To conduct appraisals on direct reports in accordance with company requirements and propose development plans for direct reports.
